Privacy policy

Love Athletica runs Reformer Pilates, Hot Mat, Heated Yoga and Functional Strength studios in Victoria, South Australia, the ACT and Western Australia. In this policy, ‘we’, ‘us’ and ‘Love Athletica’ mean Love Athletica Holdings Pty Ltd (ABN 54 664 243 770) and its related companies that operate our studios.

We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).

• Contact and account details: name, email, phone, date of birth, home studio and emergency contact.
• Booking and purchase history: classes booked and attended, packs, memberships, late cancels and no-shows.
• Payment details: processed by our payment providers. We don't store full card numbers.
• Health information: injuries, conditions, pregnancy and anything you tell us in your waiver, health questions or to an instructor, and medical certificates for pack extensions or membership cancellations. This is sensitive information. We only collect it with your consent and use it to keep you safe.
• Student cards: a copy of your student card to apply the student discount. We record the verification date on your account and delete the copy within 12 months.
• Photos and video: taken in our studios and at events for our website and social media. You can ask not to be featured at any time.
• Website and app data: cookies, pixels, device and browsing information, and how you interact with our emails.
• Messages and feedback: enquiries, survey answers, reviews, emails and SMS conversations with us.
• CCTV: all our studios use CCTV for safety and security. Footage is only viewed when needed to investigate an incident, and is kept for a limited time unless it's needed for an investigation or legal claim.

We collect most information directly from you. We may also receive it from ClassPass if you book through them, and from social media platforms.

• To manage your bookings, memberships and payments.
• To keep you safe in class, including modifications for injury or pregnancy.
• To contact you about your account, bookings and class changes.
• To send you marketing by email and SMS if you've agreed. You can unsubscribe at any time.
• To show you relevant ads on Meta, Google and other platforms.
• To improve our classes, website and service.
• To meet our legal obligations.

Some decisions are made automatically by our booking system, such as applying late cancel and no-show fees, expiring packs, processing membership payments and placing a membership on hold after a failed payment. If you think an automated decision is wrong, email hello@loveathletica.com.au and a member of our team will review it.

We don't sell your personal information. We share it only with the providers that help us run our business, and with professional advisers, insurers, regulators or law enforcement where the law requires.

These include providers of:

• our booking, membership and payment system
• our website and online forms
• email, SMS and customer messaging
• advertising and website analytics
• business systems we use to run our studios

Some of these providers store information outside Australia, mainly in the United States, and also in Singapore and other countries. We take reasonable steps to make sure they protect it to a standard similar to Australian privacy law.

We use secure, password-protected systems, limit access to the team members who need it, and choose providers with strong security. If a data breach is likely to cause serious harm, we'll notify you and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme.

We keep your information while you're a client and for as long as the law requires after that, for example 7 years for financial records. Student card copies are deleted within 12 months. We delete or de-identify information when it's no longer needed.

Our website uses cookies and pixels, including the Meta Pixel and Google Analytics, to understand how our site is used and to show you relevant ads. You can block cookies in your browser settings, but parts of the site may not work properly.

Clients must be 16 or older. For 16 and 17 year olds, a parent or guardian must accept our waiver, and we collect only the information we need to manage their bookings safely.

You can ask to see or correct the information we hold about you by emailing hello@loveathletica.com.au. We'll respond within 30 days. You can also update most details yourself in the LA app.

You can ask us to delete your account and personal information by emailing hello@loveathletica.com.au, or by making a request through Mindbody. We'll delete it, except where we need to keep certain records by law, such as financial records for 7 years.

If you're unhappy with how we've handled your information, email hello@loveathletica.com.au with "Privacy" in the subject line. We'll respond within 30 days. If you're still not satisfied, you can contact the OAIC at www.oaic.gov.au or on 1300 363 992.
